Part 1 Non-referral Documents 0 / 1 ▼
What to do when a document arrives that is not a referral letter or MHTP.

Determine the document type and act accordingly.

Document type
From INCA
Archive the email. Do not upload to the client profile and do not send to the psychologist.
Non-MHTP update letter

Download the file(s).

Open client profile → scroll to the bottom of the General tab → click 'Add files' in the 'Attachments' section.

Drag the file(s) into the 'Upload files' section → set to 'Clinical' → click 'Save'.

Forward client email to treating therapist along with the 'Non-MHTP Document' WunderText template.
Examples: dietitian report, medical report.
⚠ Not this: a specialist referral
A Better Access Initiative Referral from a psychiatrist or paediatrician is a real referral, not an update letter — process it through Parts 2–7 as normal. The test is what the letter does: if it asks for the client to be seen for a number of sessions it is a referral; if it only reports back on a client, it is an update letter.
Part 2 Processing in the Unactioned Folder 0 / 6 ▼
Opening, saving, combining (if needed), renaming, and moving documents to the Referrals folder in Drive.
File naming format: Emily Jones 24-08-21 JS — client name, date from document, your initials.

Open the document in preview mode in Gmail by clicking on it.

If the document requires a PIN to open, mark the email as unread and drag it into the 'Needs PIN' folder. Stop here for this email.

Check whether there is more than one attachment or email for the same client.

How many documents?

Proceed to next step (adding to Drive).
2+ documents
Complete sub-steps 3a–3d below, then proceed to final step of this part (moving to correct folder).

Save all related documents to Drive — click the triangular 'Add to Drive' symbol in the top right of each document preview.

Use PDF Mergy to combine them. Name the file: Emily Jones 24-08-21 JS.  🔗 Open PDF Mergy

If any files are images (not PDFs), use Combine Files to PDF by CloudHQ instead. Same naming format.  🔗 Open CloudHQ

Delete the original individual documents. Keep only the combined file. Then proceed to final step of this part (moving to correct folder).

Click the triangular 'Add to Drive' symbol in the top right of the document preview to save it to Drive.

Open Drive via the 9-dot grid in the top right of Gmail → select Drive.

Find the document in Drive, rename it, and move it to the correct folder.

Click and drag into the 'Referrals' folder.
Part 3 Validate the Referral 0 / 5 ▼
Check for the four required elements before creating a new client profile. If anything is missing, forward to Incorrect Referrals.

Check whether the document is a valid MHTP.

Plan type
✓ Valid MHTP
Contains: MHTP, MHCP, Mental Health Treatment Plan, Mental Health Care Plan, or Mental Health Plan.
✓ Valid — Better Access referral
A Better Access Initiative Referral written by a psychiatrist or paediatrician counts as a valid MHTP. Those specialists refer directly, so there is no GP and no treatment plan — do not chase the GP for one. Process it exactly like an MHTP.
The specialist's own name, provider number and clinic are the ones you enter.
✗ Not a MHTP
Contains: Eating Disorder Plan / EDP, Enhanced Primary Care Plan / EPC, Chronic Disease Management Plan / CDM, or GP Chronic Condition Management Plan / GPCCMP. Flag as invalid — go to Step 5a.

Check there is a mobile phone number for the client.

Check there is a GP name, GP provider number, and GP clinic name.

If the GP provider number is 9+ digits, the referral is invalid.

If the GP provider number is 7 digits, add a 0 to the start.

If GP name and number are present but no clinic name, Google the GP name to find the clinic.

On a Better Access referral from a psychiatrist or paediatrician, use their name, provider number and clinic — there is no GP on the document.

All four elements present — proceed to Part 4.

If any element is missing, forward to Incorrect Referrals:

Download the referral you just added to the Referrals folder in Drive.

Compose a new email and add admin@remotetherapy.com.au as the recipient.

Attach the downloaded referral to the email.

Note the specific error in the body: e.g. no MHTP, no mobile, no GP provider number.

Note your name in the body.

Find the email you just sent → mark unread → move to 'Incorrect Referrals' folder.
Part 4 New or Existing Client? 0 / 1 ▼
Search Halaxy to determine if the client already has a profile — this determines whether to go to Part 5 (new) or Part 6 (existing).

Search the client's name in Halaxy using first and last name together. If no result, try last name only. Do not use middle names.

Client found
Existing client. Open the Halaxy profile and continue to Part 6.
Multiple results
Open all and compare DOB, phone number, etc. to confirm the correct client.
No results
New client. Continue to Part 5.
Part 5 Adding a New Client 0 / 17 ▼
Create the client profile in Halaxy, add Medicare funding and the referral, hand the client to Grace, and move the email to Done.

In Halaxy, click Clients → Add Client.

Enter the client's full name. Click Main next to the name field.

Enter the client's date of birth.

Enter the client's mobile number in the format: +61417746631.

Enter the client's timezone (use the GP clinic timezone if no client address is available). Click SAVE.

Go to the Funding tab → click NEW CLAIM.

For Funder, enter Medicare → click Next.

Skip the Medicare Card Number screen by clicking Save → click ADD REFERRAL.

Set Referral type to MHTP.

For Referrer, enter the doctor's name. If not found, click 'Add [Doctor] as new Professional contact' and complete the pop-up.

For Limit, enter the number from the referral. If none is specified, enter 6.

For Date, enter the date from the referral document → click SAVE.

Under the new referral line, click ADD FILES.

Download the referral document, upload it, and press SAVE. Keep the filename as-is — it should read Emily Jones 24-08-21 JS.

Send a new email to grace@remotetherapy.com.au with this on the first line, using this client's Halaxy number:

The client's Halaxy number is the long number at the end of their Halaxy web address (e.g. halaxy.com/a/pr/30073461/patient/123456789). You can paste the whole link after the words instead. The subject line can be anything.

Grace sends the intake form and follows up with the client as usual — you do not send the form or add an iffu task.

Nothing else to do once you have sent the command.
If the command fails, Grace will reply to your email. Her email will start with NOT DONE YET. Please follow the steps > reply with the command again > then archive the email chain.

Double-check you have processed all documents in the email.

Move the email into the 'MHTPs — Done' folder in Gmail.

If you added a new GP: go to Halaxy Menu → Contacts → Professionals → search for the GP → confirm their address, email, phone, and fax are listed.
Part 6 Check Referral Date (Existing Client) 0 / 2 ▼
Before processing a referral for an existing client, verify it is genuinely new and not a duplicate.

Compare the new document's date to the last referral on file. If the date is more recent, it is valid — proceed to Part 7.

If the date is the same as the existing referral, it is a duplicate. Do not upload to Drive.

Do not upload duplicate referrals to the Drive.

Forward to admin@remotetherapy.com.au. Note the error (e.g. duplicate referral, same date as existing) and your name in the body.

Find the forwarded email → mark unread → move to 'Incorrect Referrals' folder.
Part 7 Referral Update for an Existing Client 0 / 12 ▼
Add the new referral to the existing Halaxy profile, hand the client to Grace, and move the email to Done.

Open the client profile in Halaxy and go to the Funding tab.

If the existing referral is partially used (e.g. 1/6, 3/6, 5/6) and is less than 12 months old, click the pencil icon on that referral and tick 'Preferred'.

Do not tick 'Preferred' if the referral is on 0/6 or is more than 12 months old.

Click Add Referral.

Set Referral type to MHTP.

For Referrer, enter the doctor's name. If not found, click 'Add [Doctor] as new Professional contact'.

For Limit, enter the number from the referral. If none specified, enter 6.

For Date, enter the date from the referral document → click SAVE.

Under the new referral line, click ADD FILES.

Download the referral document, upload it, press SAVE. Filename should read Emily Jones 24-08-21 JS.
